As the Planned Maintenance Officer, you’ll play a key role in supporting the delivery of Wyndham City Council’s planned maintenance program across all Council facilities. Working under the guidance of the Area Leader Planned Maintenance, you'll help ensure that contractor-led services are effectively coordinated, accurately recorded, and fully compliant with statutory and regulatory requirements and Council policy.


Your contribution will directly support the operational success of external contractors by maintaining robust systems, workflows, and documentation. This position plays a vital part in advancing Council’s strategic goals, promoting financial sustainability through cost tracking, enabling integrated long-term planning through accurate service records, and building organisational capability through clear, auditable reporting.


This is a full-time permanent position that will be required to work across multiple locations and travel within the Wyndham Municipality to undertake Council business, as required.


What your day will look like

·         Support the coordination and monitoring of contractor-delivered planned maintenance services.

·         Liaise with contractors to manage scheduling, site access, task follow-up, and compliance documentation.

·         Maintain accurate service records and contractor performance data in Council systems, including TechnologyOne.

·         Assist in reviewing and validating contractor invoices and reports for alignment with service expectations.

·         Deliver responsive customer service by coordinating site access and managing stakeholder enquiries.

·         Track performance indicators and compliance requirements to support transparent reporting.

·         Ensure audit readiness by keeping documentation complete, accurate, and accessible.

·         Collaborate with the Support Services team and Reactive Maintenance area to ensure cohesive operations.

What you will bring

·         Certificate or Diploma-level qualifications in Facilities Management, Business Administration, Building Services, or lesser formal qualifications with significant demonstrated experience in a facility, contractor coordination, or compliance-based role.

·         Experience supporting contractor-led service delivery, including task scheduling and compliance tracking.

·         Proficiency in TechnologyOne or similar systems used for work order and contractor management.

·         Working knowledge of facility maintenance regulations, including the Building Code of Australia, Essential Safety Measures, statutory and regulatory obligations of owner and leaser’, and OH&S legislation.

·         Strong interpersonal and communication skills, with the ability to engage diplomatically with contractors and internal stakeholders.

·         Ability to work independently, manage competing priorities, and maintain service continuity in a fast-paced environment.

·         A commitment to accountability, integrity, and accurate recordkeeping.

·         A current Victorian Driver’s Licence, Construction Induction (White) Card, and Working with Children Check.
